The following post highlights updates coming to Marketo Sales Connect that will impact how sales activity data is logged to the subject field in Salesforce.   With the Q1 ’22 release, we are releasing Salesforce Activity Detail Customization, which allows teams to capture more activity data in Salesforce by customizing what information is added to the Salesforce task subject field when a sales activity is logged to Salesforce from Sales Connect.    Activity Detail Customization settings in Sales Connect (New)   Example of  subject field populated in Salesforce – Lightning Experience (New)   Who is this information important for?   This information below will be important to you if your team is logging activity’s or tasks to Salesforce, and will be especially important if you are reporting on these activities in Salesforce.   When is this change happening?   This is currently scheduled to go out as a part of our Q1 release ’22, January 27th.   What do I need to know?   The new Salesforce Activity Details Customization will enhance how information can be logged to the subject field on the Salesforce Task object, and replace the current logic for how information is logged to Salesforce.   Currently, admins cannot configure what information is logged to the subject field when an activity is logged to Salesforce and instead default logic is used to populate data there. To learn more about what default logic is used for logging activities and syncing tasks, check out the sections below.   When the feature is enabled for your subscription, you will see a change to how information is logged to the Salesforce Activity subject field, in which the new default behavior for all activities will follow this pattern, “{{Activity_type}}: {{Activity_subject}}”.   Below are definitions of the different values and sources that are populated for different activity types.   Activity Types Activity Subjects Email Taken from the subject line of the email that is sent Call Will appear blank, unless call started as a reminder task, then the subject of the task will appear here. InMail Taken from the subject of the task. Custom Taken from the subject of the task.     However, with the new Activity Details Customization you will be able to customize the pattern used for your activities.   How do activities currently log information to subject field in Salesforce?   Below are examples of how information is updated on the Salesforce activity subject field for activity’s logged and reminder tasks that are synced.   To describe the information that will be logged to the subject field “{{ }}” are used to denote dynamic information that will update based on the specific activity. This is not something that is currently editable like the new Activity Detail Customization is.   Example 1: Email Activity   When a user sends an email from Sales Connect it will be logged to the Activity History section of that lead/contact.   Subject = Email: {{Email_subject _line}}   Example 2: Call Activity   When a user makes a call from Sales Connect it will be logged to the Activity History section of that lead/contact. Additionally, if they select a call outcome the subject field on that activity will be updated with the call outcome information   Subject = {{Call_outcome}}   How do reminder tasks currently log information to subject field in Salesforce?   When a reminder tasked is synced from Sales Connect to Salesforce it will appear in Upcoming & Overdue activity section of the contact/lead record. Upon completing the task in Sales Connect the activity status in Salesforce will be updated from Not Started to Completed. Below shows the information that will be shown in the subject field for each of these states.   When an email or call reminder task is actioned on and completed additional information can also be captured. Examples of this are provided below.   However, if an email or call reminder task is marked as completed without actually actioning the task, then the information stored on the subject line will remain the same.     Example 1: Email Reminder Task   Open Email Reminder Task Subject = {{Task_subject}}   Completed Email Activity Subject = Email : {{Email_subject _line}}   Example 2: Call Reminder Task   Open Call Reminder Task Subject = {{Task_subject _line}}   Completed Call Activity Subject = {{Call_outcome}}: {{Task_subject}}     Example 3: InMail & Custom Reminder Task   Open and Completed InMail Task Subject = {{Task_subject}}   Open and Completed Custom Task Subject = {{Task_subject}}     Why is this change being made?   This enhancement unlocks the following benefits:   By customizing what information is visible on the subject field, activity details are easily scannable for sales. Admins can tag the subject field with a unique identifier so that activity’s from Sales Connect can be easily identified and differentiated from other email activities, call activities, and tasks that are synced to your Salesforce org. Reduce the need for custom activity fields. Salesforce enforces limits on the number of custom activity fields, by making key data available to be added to the subject field, you can reduce the number of custom activity fields you need created in your Salesforce instance. The subject field of activities and task will follow a consistent pattern defined by the Sales Connect admin.   What do you need to do?   Read our documentation on how to use the Salesforce Activity Details Customization. Discuss with your sales team what information will be most useful for showing activity details in Salesforce and reporting in Salesforce. Update your Salesforce Activity Details Customization to meet the needs of your sales team. Check with your team to see if any Salesforce reports are using information in the subject field as a filter. These may need to be updated once the update is released. Bonus: With this update call outcomes will no longer be logged to the subject field automatically. The following post highlights updates coming to Marketo Sales Connect that will impact how sales activity data is managed and logged to Sales Connect and Salesforce.   Who is this information important for? The information below will be important to review if your team is using the Call Outcomes feature in Sales Connect.  With this upcoming Q1 release updates will be made to how call outcomes are created and managed, that could impact your sales users and Salesforce reporting.   When is this change happening? The new Call Outcome updates are scheduled to be released as part of our Q1 updates on January 27th, 2022.    Why is this change happening? This change improves the experience for managing and creating call outcomes by centralizing configuration to the Sales Connect application. With this change, we do not require call outcome values to be added to the to the Salesforce task subject picklist in order to customize your call outcomes in Sales Connect.   What you need to know?   The new call outcome list will start with a default set of call outcome values. After the Q1 release the old call outcomes will be overwritten with the new call outcome list that is managed in the Sales Connect Dialer settings page. New Call Outcome settings   The new Call Outcome functionality will replace the existing Call Outcome functionality. Rather than pulling a list of call outcomes from Salesforce, as it does prior to this release, Sales Connect will now pull from a custom list that can be created and managed in the Sales Connect admin settings, under a new Dialer settings section.   Previously Marketo Sales Connect dialer would map your call outcome list to your subject pick list in Salesforce. By looking up what values exist in your connected Salesforce instance’s task - subject field picklist.   Salesforce task - subject picklist settings   Salesforce task - subject picklist where Call Outcome values are pulled from. Close up.   With this, Sales Connect would generate a list of the call outcomes that your sales team could select from. Previously, this is the only way you could customize your call outcomes.   Dialer with call outcomes pulling from Salesforce task subject picklist     What do you need to do?   Update your call outcomes if - In order to update your call outcomes, you will have two options: Option 1 - If you’d like to reduce impact to users who are actively using call outcomes today, you can migrate your list of existing call outcomes to the new call outcome experience so that they will appear at the time of release. To do so you can submit a request here. You will need to submit this before January 7 th . (We are no longer taking requests to migrate call outcomes for customers) Option 2- If you don't mind waiting you can wait until the January 27th release and manually update your call outcomes in the Sales Connect settings.         2.  Create a new call outcome activity field if you would like to log call outcome information to Salesforce.        ... What’s changing? A new upgrade for the MSI Outlook plugin will be made available on 10/1/2020. The new plugin will no longer support offline mode, and users will be required to have an active connection to the internet when sending emails from the Outlook plugin. Users who do not have an active connection will see the following message when clicking the Marketo Send and Track button:     Why is this change being made? This is part of our ongoing effort to improve security.  Adobe’s Approach to Managing Data Security Risk can be found here.   What customer action is required? The new plugin will need to be upgraded by March 31st, 2021, at which point users will receive a notification in app to upgrade the plugin before further using it. This change will be enforced as part of a rolling release schedule in January. When enforced users will receive a pop up message with a link to our download page.     After the 10/1 release the new plugin will be published and users can find instructions to upgrade to the new version in our documentation site here.  If Outlook users do not have permissions to install or upgrade plugins, please consult our documentation with your IT team.   How does this impact customers? It is becoming increasingly important for teams to be in compliance with email privacy laws. To help teams with this we are releasing some enhancements to our current unsubscribe experience. These changes will be released in April. To learn more about how what these changes mean check out our overview below.             Overview Only One Unsubscribe Type Remove Unsubscribes Unsubscribe History Card Appended Unsubscribes Unsubscribe Messaging Settings Page Unsubscribe Syncing ToutApp <> Salesforce New Unsubscribe Group Deleting Contacts with Unsubscribes Unsubscribe Landing Page 1. Only One Unsubscribe Type Teams that have utilized unsubscribes in past will remember two types of unsubscribes, 'Block Unsubscribes' and 'Unsubscribes'. ToutApp is moving to one type of unsubscribe type called 'Unsubscribe'. All existing unsubscribes will now fall under this category. Now, when a contact is unsubscribed it will mean that they will be removed from all active campaigns and scheduled emails and users will be blocked from emailing that contact with Tout. 2. Remove Unsubscribes Previously both admins and sales users could remove unsubscribes. To be in compliance with law and allow our customers to better manage their unsubscribes we have moved unsubscribe privileges to admins only. When an admin removes an unsubscribe they will be presented a pop up that asks them to select a reason for removing the unsubscribe. By law, users should only be removing an unsubscribe if they can show proof that the contact requested to be contacted. 3. Unsubscribe History Card The Unsubscribe History Card is a new feature that helps admins and users get contextual evidence about their contacts unsubscribe history. The Unsubscribe history card can be found on the About tab of the Person Details View. Date Shows the date the unsubscribe/resubscribe was taken. Details Resubscribe - If the details shows “Resubscribe” it means that a ToutApp admin manually removed the unsubscribe from the contact record. It may also show some details related to why the contact was unsubscribed. Unsubscribe - If the details show “Unsubscribe” it means that the contact was unsubscribed. Source CRM Sync - Unsubscribe was captured by a sync from Salesforce. Manual - User clicked the unsubscribe button to unsusbcribe. Clicked Link - Recipient of an email clicked on the unsubscribe link “Admin Name” - An admins name will show when the action was to resubscribe contacts. This lets users know who removed the unsubscribe 4. Appended Unsubscribes It is important for any sales email to include an option to unsubscribe. This not only helps teams stay in compliance with the law but also helps teams deliverability reputation stay high. To help with both of these points we are now appending an unsubscribe link to all emails sent from ToutApp.com. This will not affect emails sent from users email client. 5. Unsubscribe Messaging Settings Page We have always allowed teams to customize their unsubscribe link messaging but now admins can set the unsubscribe link messaging for their entire team to ensure messaging is consistent. 6. Unsubscribe Syncing ToutApp <> Salesforce Keeping your data in Salesforce and ToutApp synced is important, that is why we are introducing a new field for users to sync unsubscribes with. Now teams can sync their ToutApp unsubscribes with a 'Sales Opt Out' field. This helps teams who want to differentiate between sales unsubscribes that are collected in ToutApp and marketing unsubscribes collected in Marketo. For organizations that would like their marketing and sales unsubscribes aligned they can choose to sync with the 'Email Opt Out' field in Salesforce, this is the common field in Salesforce that both Marketo and ToutApp can sync with. To get access to the new Sales Opt Out field, you will need to install our new Salesforce fields. More on this coming soon! 7. New Unsubscribe Group New look and feel for Unsubscribe group Additional columns added for more insight into unsubscribed contacts Ability to search for unsubscribed contacts in this group Admins can filter by “My Unsubscribes” or “Team Unsubscribes” 8. Deleting Contacts with Unsubscribes Contacts with unsubscribes cannot be deleted. This helps teams to make sure that their unsubscribe list is accurate. 9. Unsubscribe Link Landing Page The Unsubscribe Link is something we have long supported. With this update we now have a new landing page for prospects that allows them to provide an unsubscribe reason.
