We've been successfully incorporating an Add to Calendar link in webinar registration confirmations, but these are added to the calendar with no reminder set. Is there a way to define a time frame for a reminder - say 15 mins ahead of time? We have a "Your webinar is beginnign shortly" reminder email that goes out 15 mins mins before but we're finding regular delays in these mails going out, with webinar registrants receiving them after the event has begun.

Any word on adding "Reminders" to token .ICS files? I'm doing a virtual event and want people to be able to get a reminder to come to each session. When Marketo had their virtual event, I got zero reminders and ended up missing the sessions I wanted to attend.

I too just realized this problem when our live webinar attendee numbers went downhill like crazy. I would prefer to use the token instead of sending a generic ICS file uploaded to our design studio. Any updated on this, Cheryl C?

It doesn't look like you have an option to set up the calendar event reminder if you use the program token, however.  Is this accurate?

When i tested this it picked up my default so I'll have to look into this more. We do plan to enhance this to allow you to set the default.  You have control of some properties when you create the file, which is a program token.

It's good to know that more are having the same problem with the ICS not picking up the default.  I am having the same issue and I thought it was just on my machine since they seemed so sure.

Going back on adding the time to the dynamic file that marketo sends out, how is this file generated? Is there a place deep in the admin settings where I can adjust the properties of the dynamic file that is generated?

Getting back to you Cheryl, the ICS token is NOT picking up the default time of each recipient.  I've checked this multiple times with multiple recipients.

The recipients of our webinars are random and it will be hard to enforce a default setting on the client side. Using a static ICS file would take away from the simplicity (for the client) of a dynamic one that is tailored to them.

Is there a way we can append the line of code required for a 15 minute reminder into the ICS file that is generated by marketo instead of having the static ICS loaded into the files section?

Got it ... you mean on the accoun the recipient who adds this to their Outlook.

Account meaning Outlook.  Outlook has a default - as an example, mine is set to 15 minutes so any invite will pick this default up.

We can't count on our leads having a default reminder set. My co-worker and I both missed a Marketo webinar b/c our calendar file didn't include a pop up reminder which we were used to having on all of our other invites. So I guess I'm even an example of someone who must not have my default reminder set. It seems a weak hope to count on.

Allison, we have a new service in Beta called magICS (geeky name subject to change!) that allows you to have dynamic ICS files, including not only reminders but tokenized text.  For example, you can include the lead owner in the event title: "Meet Linda from CorpoSoft."  If you're interested, my email is below.

Cheryl, noted regarding timing of the reminde rmail. Re the default calendar reminder, there is no reminder being set... which "account" are you referring to?

HI Cheral,

You might consider sending out the email a bit more than 15 minutes prior with a slightly different subject line.  I would suggest you do this one hour ahead.  The calendar file will pick up the default calendar reminder that is set on the account.  Are you seeing this not work?

That is correct. If you put an office ICS file in Images/Files it is static, not dynamic, so instead will need to use the generic url, join.gotowebinar.com or whatever the generic url is..

Adam, thanks for that. Could you confirm though - if we do it the way you suggest, we cannot include the personalized GTW login URL in the body of the .ics correct?

If you create the file in outlook and upload it to the design studio as a static .ics file then it will contain an alert 15m in advance.

We send out reminder emails out 45 minutes prior.
