Re: Recommendations for avoiding list overlap?

Has anyone come up with a good solution for avoiding list overlap across somewhat siloed business units?, and how to identify those before email sends go out?

Standard deliverability reports will only show what has already been sent/delivered etc.

I'm trying to understand who will get caught in comms limits (ie - 2 per day / 5 per week) before it actually happens.

Appreciate feedback. Thanks!

Hi @JWL5150 ,

You can create a SL similar to below link.

https://nation.marketo.com/t5/knowledgebase/identify-leads-that-have-reached-their-communication-lim...

Please note - SL criteria are matched at the time of campaign execution & only those qualify at that moment will be considered as members, so any lead reaching CL after you prepare SL will still not be sent the mail.

Hope this Helps 😊

Thank you for your reply.  If i understand the information on the link provided correctly, it's showing how to see who "got" caught up in a comms limit list (the screenshot shows "was sent email).

What I'm looking for is a way (without using Marketo Calendar) to see who might be in overlapping lists, which would cause hitting the comms limits before they actually do. So that i can run an analysis on the overlap.  The issue i run into is that if there were just one or two lists that i know the name of in the system i could easily compare.  but in the case where multiple teams are sending multiple emails, i'm looking for a way to have a wider view of what's about to happen, if that makes sense.

Following on this thread, we use a smart list that identifies people that are likely to get caught in Comms Limits prior to an email send, and like @uditmathur noted, it's not going to perfectly predict who will/wont get excluded - it's a best guess and will only be relevant in the moments before a send (especially with any volume of emails going out and potentially overlapping).

We use this alongside a Global Email Calendar in Asana with 2x weekly review (happens in our team meetings) to make sure we're moving emails around to avoid comms limits wherever possible. While I know you said you didn't want to use the Marketo Calendar, establishing set days for certain emails (e.g. we do regional sends on Tuesdays, Global sends on Thursdays, nurture on Fridays) has helped us Daily/Weekly Comms Limit issues before emails start to go out vs seeing folks missing emails after the fact (assuming your org/team structure would allow for that of course!).

Hi @JWL5150 ,

Something which is going to happen in future can not be predicted correctly.

As mentioned you can create a similar campaign to the example by reducing the Was sent Email numbers to 1 & 4. This will give you an approximate idea of lead who might be reaching Comm Limits IF they qualify for any of the up coming campaigns.

Whether they will qualify or not will depend on their status at the time of the campaign send with is a run time process & can not be predicted.

Hope this answers your concern
