MS Dynamics Campaign Error in Batch Campaign

Hello my Community Pals!

I'm currently doing some data cleanup for records that don't have a Microsoft Type and there are plenty that have run through a previous Marketo Smart Campaign driving records into a MS Dynamics campaign that has failed due to an uncaught exception. I'm using a Batch Campaign to push them over now and get this error for every record in the campaign:

The campaign exists in MS Dynamics and there are other members of the related program that synced over via the related Smart Campaign so I don't understand what the issue is here.

Is it because I'm trying to update via the Batch Campaign? When I search the error online, the AI overview tells me a few things:

  • ...because the "Add to Microsoft Campaign" feature is currently not active or is not configured properly for batch operations; essentially, you can't add people to a Microsoft Dynamics campaign using a batch process in your current setup.
  • Configuration issue: You might not have properly set up the integration between Marketo and Microsoft Dynamics, or the campaign sync settings could be incorrect.
  • Permissions limitation: Your user account may not have the necessary permissions to use the "Add to Microsoft Campaign" action in a batch process.
  • Feature restriction: Depending on your Marketo plan, the batch "Add to Microsoft Campaign" functionality could be disabled.

We have a standard process to use an Add to Microsoft Campaign flow step in related smart campaigns, which is a batch campaign so I'd assume that, if I didn't have permission to use this in batch campaigns, then I'd never be able to add records.

I can ask my CRM Team to check settings, for example, but would love to know specifically how to direct them - they have little to no understanding/experience of the integration or the setup (the person who was responsible for that process previously has left) so I would like to make it as easy to direct them as possible.

If there's any other information I can share to help diagnose the issue, let me know.

As always, I appreciate any insight 😀

Michelle

Re: MS Dynamics Campaign Error in Batch Campaign

I apologize in advance if I didn't understand this question correctly, but it's the expected and documented behavior that you can't use the Flow Step "Add to Microsoft Campaign" in batch campaigns. You need to set it up as a trigger campaign.

Re: MS Dynamics Campaign Error in Batch Campaign

@michellechopin if you re-run the flow step for these people, do you still see the same error, given that the campaign sync in the Marketo Admin is not an issue and is currently active? You can also try Resetting the Dynamics Campaign Sync checkbox as it will refresh all the previously synced Campaign data and the associations with the Marketing Lists in Dynamics, which could fix any errors/gaps in the sync that might have resulted in the error previously.

Re: MS Dynamics Campaign Error in Batch Campaign

@Michael_Florin and @Darshil_Shah1 thank you both for getting back to me!

I feel silly asking the question now but I had NO idea that this was only available for Trigger Campaigns... It never even occurred to me that one couldn't do that after the fact, especially in the case of original errors.

However, I'll go back through the original smart campaigns and push these records through again, and hopefully I don't run into the same error (I'd assume I wouldn't unless the MS Dynamics campaign information is wrong - which I found in one instance).

I appreciate both of you 😀

Re: MS Dynamics Campaign Error in Batch Campaign

@Michael_Florin I finally got back into the list of records just now and while I understand that I need to run these through a Trigger campaign, do you have any suggestions on how to manage records that were in a trigger campaign based off a form fill, for example, or something else that was live at the time? These people have already taken the action to get into the Marketo program; it's the push into MS Dynamics that failed for some reason.

I'm assuming I could do something like "Is Added to List" and set up new lists and campaigns for these to run through but with ~2000 records, all with different sources/acquisition programs, I'd love it if there was an easier way to manage it (if I can't do it with a Batch campaign 😛). If not, this is how I'll tackle them!

Appreciate you 😀

Re: MS Dynamics Campaign Error in Batch Campaign

@Michael_Florin - I am using the "Add To List" option but doing it as a single trigger campaign with choices in the Flow Step.

@Darshil_Shah1 - to your note about testing, I just ran a quick test with a few leads in the above mentioned trigger campaign, and see the confirmation that the records were added to the appropriate MS Dynamics campaign.

Today I learned a thing, and thank you both for educating me on it!

Re: MS Dynamics Campaign Error in Batch Campaign

I usually set the trigger campaign up with the "Campaign is requested" trigger. And then I just request it from a List, Smart List or Program Membership:

Thank you for your kind words. 🙂
