Re: Is there a way to automatically add myself to every email campaign?

Hello,

I am setting up several email campaigns to go out next week. Is there a way to have myself automatically added to them before they go out for auditing purposes?

Thanks,

Mahu

This method works quite well for the default limits of no more than 2 in a day and no more than 5 in 7 days

Yes, but as I noted, not using a sliding window redefines "communication limit" because it suppresses more emails than the native feature would. Thus you're stopping people from being marketed to when the native feature would have resumed contact. Absolutely, if it's more important to get CC'd then to send an email, that takes priority!

You might also look into enabling the Marketo BCC feature, because you'll get everything you need that way, although you'll likely need your IT to participate in deduping emails so you only archive/forward one copy for every campaign + send. You can also use a Velocity script to accomplish a similar BCC-all feature.

Finally, if you add webhook logic to your above Smart Campaign, you can implement a true sliding window that will be functionally identical to Communication Limits™ and can be customized for every lead, so your internal people have no limit and every lead in your database can have a different limit. It's kind of a win-win.

+1, that's hardly equivalent to communication limits -- would never trust people to follow that procedure.

I would love to hear more details about this as well, thanks!

If you want to monitor all emails that go out, just add yourself as a subscriber to all mailing lists you have. But if you are a final person that confirms the emails before they are sent, as said, that is impossible to automate. Simply because the email setup is not standardized - sometimes you have all set in one go, next time you are fixing typos after 7th review. Just tell your team to send you final test email for every campaign.

Yeah, If there is a need to see them before they go out then I think you are out of luck. I was viewing it as almost like a record of everything sent.

Hi Mahu

When setting up your smart filters use advanced filters and end your equation with (filter1, filter2, filter3....) OR filter x and set filter d as: email address is: youremail@yourcompany.com

The only issue with this is it sounded like Mahu wants to audit the emails before they go out to the selected database. Adding herself to the smart list will just allow her to receive the emails when her audience receives them.

I would create a new internal list email address for your org and add yourself to it. This means other people could be added to it as well in the future and you can easily separate it from your personal email e.g. (emailQA@YourCompany.com).

You could then create a list in Marketo with only that email address in it and insist that all email sends include your list e.g.( Email QA ).

Sending yourself a sample email is the easiest way to test it before the final version goes out to your selected database.

Hi,

I think no - and why would you like to do this anyway?  You ca manually send a test mail to yourself prior to approving it/campaign.

Hello,

I want to do this because I have other people setting up email campaigns in my instance and I want to audit all of the emails.

Hi Mahurrinah Sims

Similiar to Natalie KremerKaran Hari and Michael Tucker I have set up program templates to include a separate Smart Campaign send to applicable internal stakeholders smartlist with schedule set to ignore communication limits. In our case the internal send stakeholders smartlist will contain marketing staff as well as relevant regional imanagers and sales team to see/ be aware of communications before prospects/ customers are sent communication. The internal send is scheduled at least an hour prior to the external send.

In relation to your need to Audit - do you mean you want to do final review and approval before the emails set up by others in your instance? I suggest if this is the case then you need to spend time defining the marketing automation roles and responsibilities across all users in your instance. This will then dictate the role and permissions setup and allocated in Marketo.

One example - You could structure •”Coordinator” role with permissions to set up emails, no send rights etc Then have yourself with “Admin“ role with Database access and send rights and you act as Central Campaign desk reviewing, approving and scheduling sends.

Do you have access to the calendar? Can you audit email as they approach the deployment date and send yourself samples of them? Or maybe create global smartlists for users to use and include yourself in those smartlists. There is a chance you'd reach communication limits though.
