Seeking Assistance with Lead Routing Issue in Marketo

Hello Marketo Community Members,

 

I'm reaching out in hopes of finding some guidance on an issue we're encountering with our Lead Routing process in Marketo.

We have set up smart campaigns within our Marketo instance for 'Net New Leads' and 'Existing Leads.' However, I've noticed that some leads are being processed by both campaigns consecutively. This is resulting in duplicate notifications to our BDRs and occasionally causing the lead owner to change in SFDC.

To address this, I implemented a rule to add leads from the 'Net New Leads' campaign to a list, intending to use this list as a filter in the 'Existing Leads' program. Unfortunately, this solution isn't working as expected.

Does anyone have any suggestions or best practices on how we can resolve this issue? Any input or advice would be greatly appreciated to streamline our lead routing and ensure a smooth workflow.

We'd need to see the fuller setup. Can you show all the triggers and filters for both campaigns please?

So at first glance the question is why you’re trying to use filters to determine if someone is Net New, triggering on exactly the same value change (to Lifecycle Status=MQL).

 

If you mean “Net New” as in the first time the person has entered your database, you should be triggering on Person is Created (with a constraint on the source of the person, if necessary)

 

Then any subsequent flow steps, including executed/requested campaigns, can never be confused with an existing person moving to MQL.

Firstly, all leads are initially synchronized into a queue within SFDC where they remain unassigned, meaning they do not have lead owners (First Smart Campaign). This status continues until they qualify as a Marketing Qualified Lead (MQL). At the point of becoming an MQL, these leads are then assigned to a BDR for further engagement.(NET New Leads Smart Campaign)

The second scenario pertains to leads that are already present within the system. Once these existing leads reach the MQL stage, they are reassigned to another BDR. This reassignment process is designed to ensure that the leads are always handled by the most appropriate BDR. (Existing Lead process)
