Sending Emails with Marketo Sales Insight in Salesforce

Hi All,

I'm encouraging adoption for my Sales Team to begin using Marketo Sales Insight for sending emails as opposed to using the SFDC send email functionality.

The features aren't quite there yet, and I'd like to find out a few things from you:
1) What are some of the best practices you've put into place around selecting the right email targets, and preventing email sends to existing customers, or accoutns with open opportunities?
2) How do you handle all the requests for custom email templates?
3) Marketo Sales Insight Reporting on Email Performance?
4) What unexpected problems did you face and how did you resolve?
5) How did you overcome challenges about scheduling specific time of day for deployment?

1. Our sales and customer success team's are organized such that they only are sending appropriate emails to the leads they own.  The maximum number of emails that can be sent from Sales Insight at 1 time is 200 and you can decrease that to a limit that you are comfortable with.

2. We trained the sales reps on how to create their own Sales Insight templates based on a single email template.  We also create templates for broad topics like invitations to tradeshows / webinars, new research reports, etc.

3. There is no Sales Insight email reports, but you can use lead reports with custom columns to create your own.

4. Be sure you caution your team about clicking links in Sales Insight emails they receive in a reply or are that forwarded to them due to the tracking code on the links, that will cause erroneous cookies to be created on their computer.

5. By deployment - do you mean when the reps send the Sales Insight emails?  If so, again they typically do not mass blast these and just sent a few at a time throughout the day.

2) Does this mean that you give Sales Reps access to Marketo in order to create their own Templates?
5) My sales reps want to schedule the time the email is to be deployed.

We gave reps access to Marketo with limited permissions including the ability to create a email, but they cannot delete emails.

If your reps want emails to be blasted at specific times to a number of recipients, you should create a smart campaign to do this.  If they won't be sending the emails themselves, then there is no need to check the Published in Sales Insight option in the email. 

Have you thought about how the reps will identify who they want to receive the emails? A couple of options are:
Add a checkbox on the Lead / Contact record that you reset after sending the emails
Use the Add to Marketo Campaign option in the Sales Insight section to select a smart campaign that sends the email at a the desired date/time. Your smart campaign will need to have the Campaign is Requested trigger witih "Source is Sales Insight" for the smart campaign to be displayed in the reps list of campaigns.

We would like to give our sales team the ability to send out larger blasts and not be limited by just 200 recipients.  They have this ability in Salesforce already and as we roll-out Marketo Sales Insight, we want to offer them added funcitonality.

What direction should we pursue to give our Sales Staff the ability to create ad-hoc lists and send blast communication to these recipients without Marketing involvement?

Of course, marketing will have established a series of templates for them to use that they will select when they create there messages.
