Re: Lead database too big

My database is too big for my current Marketo package. I want to set up a filter to weed out old leads wiith bad info. I can set up this filter, but how do I apply it to the database so it's size compliant again?

Also, would I need to schedule this to run every day? Or just once? Thanks!

Would this work if I have a defined list of leads in an excel spreadsheet. Could I import the list and then reference the list in the smart campaign to delete from Marketo?

Smart list:
Member of list

Flow:
Delete lead (remove from CRM "false")

Will this keep them out of Marketo? Thank you!

Hi Olivia,

No all steps mentioned above worked and we haven't had any problems!

Hi Ian,

Can you give an update on this?  Did Marketo re-sync the leads?

Thank you!

I thought about that and apparently Marketo is smart in the sense that it doesn't re-sync leads that have been specifically deleted. Thanks for the tips.

If they 'survive' in your CRM, they might just be synced back within 5 minutes. Depending on your sync settings. This could make this exercise futile. If so, update your sync settings or also delete them from your CRM.

Another way to archive these leads automatically is to be able to subscribe to a smartlist, which is not possible yet. You could how create a webhook to push the to-be-deleted leads in a simple mysql database you own.

Yes. That will work.

Export the smart list FIRST just in case.

So I need to set up a smart campaign. The filters would specify all leads BEFORE a certain date and WITH certain undesirable lead attributes, like no company or a gmail address for instance. The flow would be delete lead (remove from CRM:false because I don't want it taken out of Salesforce yet). When it's done I hit "run once".

You would start setting up smart campaigns to delete leads without recent activity or a score bellow a defined threshold.

Setting up a smart list to identify those leads and then exporting the results would safeguard your existing data for offline use.
