Don't create SFDC templates for every email sent via Outlook plugin

Apparently, the current behavior for the Sales Insight Outlook plugin is to create SFDC email templates from every email sent via "Send and Track". The solution recommended by Marketo Support is to simply turn off "Sales email sent" activity in the SFDC sync, but I think that's a terrible compromise.

1. I now have hundreds and hundreds of templates in SFDC to sort through which aren't actually usable templates.
2. I've lost the ability to view the content of any "sales email sent" activities within Marketo.

As I can't think of any scenario where I'd want one-off sales emails creating new templates in SFDC, I think the behavior should just be changed. If nothing else, there should be an option to turn off template creation.

Thanks for following up with Marketo on the Discussion item and submitting this Idea.  What do you mean by #2 in your post?

Or perhaps, the only email templates that are added into Salesforce are the ones that are in Sales Insight with the option of being used for the "Send Marketo Email." If they aren't able to send it there, I don't see a reason why it should create a template. (I really hope I'm explaining that correctly!) And then have the same capabilities for the saved templates that it does when selecting them. Once the "Publish to Sales Insight" is no longer checked, that template should be taken out of the Salesforce templates just the same as it is no longer in the drop down of emails available to be used.

Sorry, Elliott, I should have been more clear. I haven't actually lost the ability to see the content of sales emails sent, it just requires more clicks to get to it. For example, with an email logged in SFDC via their "Send and Add" button for Outlook, I'd be able to click on the activity in SFDC and see the entire content of the email. Since the MSI Outlook plugin is creating templates with every email sent, the activity doesn't show the content of the email, but rather a link to the "template". Not a huge deal, if you click on the template, you can see the content of the email, but it's a pain for my sales team.

I like that the activity provides a link to see the email but why not a link to the marketo email previewer link you'd see by clicking the email in sales insight?

I believe when these emails are used, we aren't able to see the metrics, are we? CTR, etc? I've tried this and Sales Insight and I can't seem to generate a report that says these emails were sent and here's how they performed. Sort of defeated half the purpose in my opinion.

The lack of sales email performance reports and their associated click and open metrics is a major flaw with Marketo Sales Insight.  Please vote for the Sales Email Performance Report Idea that has a Status of "We like it!"

We are also experiencing huge issues with the email templates created in conjunction with sent email tasks.  The fact that Marketo creates a separate email template for every email address on a mass email is very problematic, as we now have over 300,000 email templates in our Marketo Email Templates folder and the number is growing at a very high rate.  The volume is causing problems with our back end systems timing out or not loading email templates properly, so we're forced to look for alternative solutions since we can't continue bogging down our system with useless - and duplicate - templates.

The ability to add the email text into the Comments section on a sent email task rather than creating a template would be a huge improvement in functionality.  Alternatively, why can't Marketo create ONLY ONE template per email blast, rather than creating 1,500 templates when we email 1,500 contacts?  The inability to do either of these things is a major limitation for us.

Hello! Do you know if this idea is already in Marketo's roadmap for this year?

Just curious how other customers are managing these email templates in SFDC? Do you use any custom tools to mass delete the templates? The mass email feature is useful but managing these templates has been a pain. I brought it up with Marketo support but they didn't have much to offer other than suggesting posting this as an idea on the community while the idea already exists.

Thank you,

Hey Guys,

We are planning to use outlook plugin and I came across this.

Can anyone confirm where do they see the additional templates created in SF?

Thanks,

Sanjana
