Number of people in a smartlist - Best Practice

Is there a maximum number of people that can be considered best practice in a smartlist.

I know that we can create a smart campaign restriction, and we currently have that set, but do you recommend a maximum number?

Also, what time frame do you recommend to review smartlist?

Thank you

Re: Number of people in a smartlist - Best Practice

There isn't a specific maximum number of people that can be considered best practice for a smart list in Marketo. The size of a smart list can vary depending on factors such as your database size, the purpose of the smart list, the frequency of updates, etc.

However, it's generally recommended to keep smart lists as targeted as possible to ensure optimal performance. If a smart list includes a large number of people, it may impact system performance and the efficiency of your campaigns.

It's a good practice to regularly review and refine smart lists to remove inactive or irrelevant leads to maintain their effectiveness. As for the time frame to review smart lists, it depends on your specific marketing goals and the nature of your business. However, it's advisable to review your smart lists periodically to ensure they are up-to-date and aligned with your current marketing strategies. A common approach is to review smart lists on a monthly or quarterly basis, but you can adjust the frequency based on the needs and dynamics of your marketing initiatives.

Ultimately, the ideal number of people and review frequency for smart lists may vary for different organizations, so it's important to find the right balance that suits your specific requirements and resources.

While creating a smart list, you should focus on setting the smart list filters accurately and 100% aligned with your filtering needs. Additionally, you should consider checking out this documentation -- Best Practices for Smart Lists. I'd highly recommend you set up your smart lists based on the best practices mentioned in the document. In general, the more complex the smart list filtering logic is and the more the number of people that it has to filter through, the more time it'd take for it to load. Also, it depends on how the smart list is being used that you should review it- for the operational smart list, I'd say update as soon as any criteria are changed, for others make sure you update them once a quarter (can adhere to a different frequency as well per your preference and how often things your marketing strategy changes) to ensure the logic is still accurate and all filters to suppress test/internal records are still accurate.
