Searching which flows a lead belongs to

Hi,

About six months ago we discovered a lead who was accidentally appearing in flows that she shouldn't, so we deactivated her to prevent her receiving any further emails from us as she was being inundated with them!

We've just reacitvated her but were wondering if there's any way to tell which flows she has entered into so that we can pre-empt her being bombarded with emails again?

Does anyone know of a way to search the flows?

Absolutely. Just check her lead activity log to see all the flows she has been through. See attached screenshot.

The question is - how many other leads fall into this same category? Are your flows organized in a way that prevents this on a mass level? Perhaps you could add a constraint to your smart lists so that only people who haven't been sent an email in the past week or so qualify for the flow?

You could check her activity history to find the flows she's in, but if they start with a wait step or something else that isn't logged in activity history, you may not see them there.

Thanks Delinda, you hit the nail on the head. The lead is in a wait step right now so her activity history isn't showing any flows that she belongs to just yet.

She mistakenly belonged to multiple flows in the past when we deactived her, which I think we fixed at the time. I'm worried though that because these flows were stopped partway through when we deactivated her that she'll pop straight back in to them all when we activate her again.

When we activated her an hour or two ago she popped straight back into all the flows (again!). Thank goodness for the wait step. I manually went in and removed her from the flows she didn't below in, but the popped right back in there just a few minutes later. Argh.

Gosh, I don't know what to do to fix this. Perhaps just delete the record and start again??

Could you change your smart lists so that she stops qualifying for these flows? If she is in a wait step, you could add a flow step after the wait step that tells Marketo to remove leads from the flow if they were sent an email in the past x days.

It's difficult to give specific advice without seeing the full situation, but my guess is that deleting the record won't help until you figure out what is causing the issue in the first place.

I agree with Delinda. You should modify your smart lists so that she does not qualify for the flows.
