How to change Marketo Sync user in Salesforce

Hi Everyone,

My company is currently using my Director's SF user license as our Marketo Sync user, which is obviously very inconvenient when creating campaigns and design studio collateral. We have since freed up a user license in our SF instance and I would like to migrate my Director's credentials and leads/contacts/opps/accounts over to that one. Our IT dept has created a new email marketosync@ourcompany.com and I was hoping someone could give some guidance on how to properly complete this migration without messing up the Marketo-SFDC sync process.

My thoughts were:

1. Disable global sync

2. Mass transfer records in SF to free license

3. Replace my Director's current license with the new Marketo Sync email

4. Fill other user license with my Director's credentials

5. Issue new SF password and token for marketosync@ourcompany.com

6. Fill in new credentials in Marketo and enable global sync

Please let me know if this is the proper way of doing this and if anyone has any tips from having done this themselves, it would be much appreciated!

There are some related threads on this, please search. Also make sure to review the setup process again.

You  have the right idea, but not quite.

  1. Create the user (done)
  2. make sure the User Profile and permissions match your Director's profile or make it better. If the User cannot see data, no sync will occur.
  3. You don't need to transfer record ownership at this stage. The Marketo User shouldn't own anyone. Better to transfer the ownership to a Queue or something after the sync is restored. Of course, this depends a bit on your process.
  4. Disable sync in Admin
  5. Change user
  6. Restore Sync
  7. Test records both ways and with all objects.
  8. if you encounter errors, you should probably adjust permissions. That's the #1 cause of sync problems.

Remember to do this on a Friday that's quiet. Keep in mind that while data will update after the Sync is restored, Tasks will not if they were queued up.

Thanks for your breakdown of the steps I need to take, Josh! I checked other posts on this topic but couldn't find an example that hit the nail right on the head for my exact scenario, and I'm not very familiar with the order in which I would need to execute the various steps to ensure a seamless sync. I'll be executing this tomorrow afternoon and will let you know if I encounter any issues.
