Hi Team,

 

We are developing a warm-up campaign to ensure that whenever new records are added via a list, they do not go directly into our standard marketing flow. Instead, these records will first enter a warm-up campaign. Once they engage sufficiently, we will then transition them into our regular marketing efforts.

 

Currently, we have a global suppression smart list in place to apply basic exclusion rules. However, adding this new rule may not function as intended since we utilize the global suppression for all emails, making it impractical to remove records from the smart list.

 

I propose running a smart campaign daily to add new records to a list using the add list method. These records would then flow through the engagement program and remain there until they are ready to transition to normal marketing. Once they are ready, we can use the remove list method to take them out of the list.

 

Additionally, is there a way to manage this process through a smart list? I am considering creating a smart list that incorporates these new records and includes a stream flag. This flag would ensure that once their journey reaches the finished stage, they are not filtered out.

 

Please share your thoughts on these two approaches and any best practices that you may recommend.

I think what you are doing can work but had a thought to maybe simplify it.  

 

If your warmup campaign is setup using an engagement program(assuming this is true?) If so, when you add these new people to the engagement program you could then exclude members of that engagement program or members of the program without a completed status from your other marketing activities.  It would functionally work similarly to what you are proposing but skip the need for the add/remove to list logic.

@ashah123, going with a dedicated list and SC to maintain the list membership will be simple, so if you want to avoid complicating your filtering logic with/ engagement program membership, you can go via that route. 

 

It seems you are referring to the filter that identifies members of the engagement program while also considering those in the "Journey Finished" stream for transition into regular marketing. However, this approach complicates the filtration process. It lacks the flexibility needed to exclude individuals who are not in the program while still allowing for those who are warmed up in the engagement program to be included. If I proceed with this rule, I will need to introduce additional criteria to ensure that we exclude contacts who remain in the warm-up campaign, as we have a master list from which we need to differentiate these individuals.

 


You can always use Not Member of EP combined with not member of your master exclusion list to identify people who're not yet in your warm-up campaign, and use Member of Engagement Program and Stream = Journey Finished and Content Exhausted = True to reference people who're done with the warm-up email nurture.

Yes we will be using engagement program that true .

The reason i thought of using static list is its gives a flexibility to add and remove from the list so the filter becomes easier 

 

I guess what you are referring is using a filter where they were part of engagement program but journey is finished or status completed right ?

Yes - that was my thought exactly.  Either solution I think can work but if they are in the engagement program anyway then it might simplify it for you to just reference that.

I like the idea of referencing the program membership as a proxy of adding people to a list -- the only downside/consideration here is how you update people who're done with the warm-up engagement program (either complete it/engage enough to put them in your regular marketing flows) -- do you remove them from the program (by updating their engagement program status to Not in Program) or just Pause their cadence; with the former, you'd lost on reporting w.r.t. engagement program and with the latter, there's a chance you end up referencing people who are still in the warm-up engagement program but are paused due to any reason (e.g., they aren't marketable, no longer eligible for the program, etc.)

 

As a walkaround, you can always go with the list approach or just have a program status in your engagement program to signal people are out of it and ready for marketing flows (so engagement program members with status other than this are still not ready for your regular marketing flows). That way, you'd always be sure that you get the right set of people when using Engagement program membership.

I'm not entirely sure if this aligns with what you were referring to, but I wanted to share my thought process. I believe that adding and removing items from the list will simplify the filtration process, especially since I apply it at a global suppression level to eliminate those who are still part of the warm-up list.

 

Regarding unsubscribed individuals, those deemed not marketable, or those who are no longer eligible for the program, I think they are already excluded at the global suppression level, as we have established some basic exclusion rules.
