Quick Tip: Avoid Waiting for Reports to Load

We all have some reports in Marketo that take a while to load. Many people will open them in a tab and just come back to them after lunch. I, however, am super impatient and when I want something, I want it right now. Plus I also have a bad short term memory and tend to forget what I was waiting on and only realize at the end of the day when I shut down and see this report in a random tab.

So here's a quick tip to get those complex reports fast:

  • Set up your report settings as you would normally but do not go to the Report tab to load the report.
  • Instead, click on Report Actions > Save As and give your report a name.

  • Then when it refreshes, you'll see a new tab for Subscriptions. Click on New Report Subscription and set up a subscription for yourself. It's really irrelevant what settings you choose.

  • Then click the little email icon next to your name. This will send you an email of the report as soon as it generates. pastedImage_4.png

Generally I find that this is faster than waiting for the report to load and it will also work in situations where you just can't get the report to load in the UI at all because of complex filters, etc.

Hi Kristen,

Wondering if you have any tricks to speed up smart list loading. Whenever I have to pull a list of leads based on their inactivity (Not Clicked Link in Email, Not Visited Web Page, etc.), it takes quite a while and sometimes Marketo doesn't even cache it.

Hey Amanda,

Since we can subscribe to Smart Lists now, I bet you could replicate this same process for Smart Lists. Create the logic, and instead of clicking the "Leads" tab, go to List Actions > New Smart List Subscription > Subscribe (yourself) > and then click the email icon button to send it to yourself immediately.

One further thing on the speed to run reports - there's a great article in the Community about the order of your filters. I can't seem to find it right now, but long story short, use the simpler filters first (such as "is", "is not", "is empty" as opposed to "contains" and so forth), and the more complex ones later.

Marketo effectively narrows it down from the first filter down - so if your first filter is something like "Name is John Smith", and the second is "Did Not Open Any Email In Last 12 Months" it will be substantially quicker if you have the Name filter first. Marketo effectively says "Ok, I've got 12 John Smiths, let's run that complex criteria against ONLY 12 leads".
