Communication Process for email approval in your organization, do you have one?

  Working with lot of SMB and big enterprise, I saw even though we have Marketo to support approval process for email or landing pages based on access rights but still lot of organization are have at least 3-5 levels of approval hierarchy in place before any email goes out of Marketo.

   Would love to know how do you manage the process and track who provided what input to the email about to go out of Marketo and how is the email approved, via email or some other tool. And Just wondering in what format, all the team members in the email /content approval hierarchy do get to see final email in word doc as a screen shot or sent the test email via email or any other technology is used. For example Marketing ops creates it and sends the test email to Marketing Manager, and some edits are suggested and then goes to Director and again some edits are requested (in format other than email) and finally goes to CMO...would be interesting to know how communication happens within the team!
   Remember not all of them are in using Marketol but can be in the hierarchy for approval.

The following describes guidelines for the Email and Landing Page Request Process.

Email and landing page requests should be made in HSIDB a minimum of two (2) weeks before requested launch date. Prospect Landing Page requests should be made in HSIDB a minimum of one (1) week before requested launch date.
A request may be submitted more than two weeks ahead of the launch date as a placeholder, but once the launch date is two weeks out, it is no longer a placeholder and is a live request. All documents must be submitted by that time. It the requestor’s responsibility to upload/send these documents within that timeframe.
All required and supplemental fields on the eform, as appropriate, should be completed. If all items are not submitted, the requestor will need to adjust target send date accordingly and communicate that to the marketing automation team.
If a new template is needed as part of your request, that is a separate HSIDB form for the Visual Communications team. This is done separately and should be completed before submitting a request for an email or landing page. This template is needed for your marketing automation request so please take this into consideration.
Items submitted with a request (email copy, artwork, .csv file for list, etc.) must all be finalized and approved.
·         Content must be approved by corporate communications (Email your copy to your vertical’s content strategist or Julie Rees).
·         Artwork must be approved by visual communications (contact Chris Frelin).
·         Lists must be up-to-date data and “scrubbed”. Scrubbed means that data is formatted correctly (proper casing, address and phone number formatting, etc.) Lists should also be formatted into the Marketo Import Template. No extraneous rows, columns or data should be included that is not meant to be uploaded.

Step 4: Approve email tests

A.    Once your request has been approved and is in process you will receive test messages from the Marketing Automation team. These messages are a test of your requested message for you to review for final content, grammar, images and layout. If you have changes you should send them directly back to the marketing automation specialist who sent you the test. If you need to forward the message to others for review please do so, gather all the feedback and then send back to the marketing automation specialist. This process may need to be repeated a few times depending on the breadth of the project. Please respond to these reviews in an efficient manner so that send dates are not affected.

Hi Guys, 

We have done this as well, and it sure helps.  When I first started, everyone thought they could just get something out the day of.  It was a little bit of a mess.  Thanks for sharing your sample policy Kimi.

Hi Terri, HSIDB is our workflow tool which is actually a product our company develops that we use internally.
