      Executive Assistant

      Marvel Marketers is a fast paced, fast growing, innovative, brand led full stack Marketing Consultancy. . . with big plans. We are looking for an Executive Assistant who can keep up with this pace and the CEO all while maintaining the utmost quality and attention to detail in everything he or she is responsible for.

      In this role, you will be supporting the CEO, keeping her organized and removing operational barriers in her day-to-day activities both for Marvel Marketers, as well as other Strategic Projects as needed. This individual will be required to wear MANY hats, and must not only be successful in, but thrive in a fast paced environment.

      This position requires someone who is organized, flexible, resilient, a master learner, tech savvy, intellectually curious, a master multi-tasker, exceptional with time management and possesses interpersonal and communication skills for successful interaction with variety of individuals. The ideal candidate will also help shape the corporate culture and be an extension of the CEO’s Brand (Which is a really tough job).

      You will also be managing special projects that will include research, analysis and presentation prep; help manage action items from meetings and projects; schedule, plan and manage team offsite events; and tackle other problems and opportunities as they arise. Your ability to organize is one of your key strengths; your communication skill in all mediums (and at all levels) is exemplary; you know Google Apps inside and out; travel planning is second nature to you; you have a track record in project management; and you have a solid background working in high-growth startups.

      You will:

      • Manage the CEO's calendar and ensure logistics for meetings and events are executed perfectly
      • Arrange key internal and external meetings
      • Arrange travel and eliminate any time the CEO spends on operational tasks
      • Communicate with internal and external stakeholders on behalf of the CEO
      • Conduct occasional research projects and organizational tasks for the CEO
      • Manage and file expense reports on time
      • Anticipate the CEO's needs and enable him to be as productive as possible
      • Depending on the candidate, assist with Accounting, HR and Payroll activities as needed

       

      Qualifications:

      • Comfortable working in a very fast-paced, dynamic environment
      • Highly Flexible
      • Experience supporting executives at a 50+ person company preferred
      • Develop strong relationships that help you collaborate well across many teams
      • Passionate about detail, organization and process
      • Articulate communicator, both orally and in writing
      • Excellent writing ability
      • Confident and capable of establishing order and organization as needed
      • Independent and proactive, capable of working effectively with minimal guidance

      • Excellent judgment and the ability to maintain confidentiality
      • Have a great sense of humor and are always positive and calm despite changes or challenges
      • Create and file expense reports with a keen eye for detail and numbers
      • Act as a liaison for internal communications and requests
      • Plan and implement company events and team activities
      • Prepare presentations and reports for meetings
      • Ensure office supplies and equipments are properly maintained
      • Produce and maintain confidential reports and documents
      • Assist other teams with special projects and ad hoc tasks
      • Provide core administrative support such as filing, and copying

       

      Accounting and Human Resource Responsibilities:

      • Manage onboarding, promotions, bonuses, and termination processes
      • Create, process, and file employee paperwork
      • Track and manage employee benefits and time off
      • Enforce and maintain company policies
      • Process semi-monthly payrolls
      • Process and track expense reports and reimbursements
      • Create reconciliation reports and financial statements
      • Prepare, process, and track invoices
      • Generate statement of works to stakeholders
      • Monitor purchase order balances for all project expenses and invoices
      • Ensure state and federal taxes and forms are filed and paid
      • Assist accountants with monthly reports for bookkeeping

       

      Skills and Experience Requirements

      • BS/BA degree or equivalent experience
      • Ability to multitask and manage multiple projects
      • Strong attention to detail
      • Strong Math Skills - the CEO loves Data
      • Quick learner and adaptable to situations
      • Dependable and keeps commitments
      • Professional verbal and written communication skills
      • Excellent time management, organization, and people skills
      • Knowledge of bookkeeping and account reconciliation process skills
      • Understanding of human resource policies and procedures
      • Proficient in Google Apps and Microsoft Office
      • Works ethically and with integrity supporting organizational goals and values
      • Experience with ADP, Paymo and MavenLink preferred
      • Familiarity of Marketing Automation and Marketo is a plus
