Great idea! We've tried to do the same thing. I have a spreadsheet that we developed to capture all the information we need to build a webinar program in Marketo. We build a lot of those and were finding ourselves spending a lot of time tracking down information. I'd be happy to share it with you to see if your team could use it too.
A recent addition to our department is Robohead, which is supposed to eliminate the need for these spreadsheets.

The goal for us is to eventually move towards a project management tool as well-- i've never heard of Robohead but i'm going to look into it. I think for now creating a spreadsheet will help get everyone on the same page so we can better manage expectations would be a good start.
