To manually Unsubscribe someone, open up their contact card and click Unsubscribe: On this pop up, you'll find two options. One for "Unsubscribe" and the other to check a box to "Block Unsubscribe": Unsubscribe - This will remove the recipient from groups and fail any existing scheduled emails to the recipient. Block Unsubscribe - This will block the recipient from receiving emails from you and your team. FOR 'SMALLTEAM' & 'ENTERPRISE' ADMINS: As an added functionality, team Admins can enable the ability to sync "Unsubscribes" with "Email Opt Out" in Salesforce. You can find this under the "Admin Settings" page - NOTE: this feature will use Salesforce API calls This functionality will allow you to push any "unsubscribes" that you have in ToutApp, over to SFDC.  This will pull any "EmailOptOut" from SFDC into ToutApp The sync will run once a night, between 8:00 p.m. and 9:00 p.m. PT This is how the contact will appear in Salesforce:

Attaching a .PDF is a great way to keep your email short and let your marketing team do the talking. However, sending an email with a large file could prevent your recipient from receiving your emails. Typically, any file over 20MB will be too large to be delivered. However, the size of an attachment you can send via email varies depending on the email delivery channel you are using. When using Tout as your email delivery channel, we recommend files of 19MB or less when sending emails. If you absolutely need to send a large file, try zipping it first or upload it as a trackable attachment in ToutApp.com.

As a company, we work very hard to ensure that our deliverability rates remain high. Still, though, there are certain user behaviors and settings that can trigger emails being sent to the spam folder. Check Your Settings Custom Domain Tracking: This allows you to have all of your tracking links show up as go."yourdomain" instead of go.toutapp. Some email security will see that the email is coming from "yourdomain" but the link is being rerouted to go.toutapp. By implementing custom domain link tracking your emails will look legitmate and have a higher rate of hitting the recipients inbox. Email Delivery Channel: By default, your emails are sending through ToutApp servers. By setting up your own Gmail or custom SMTP you can give your emails the best opportunity to land in a recipient's inbox. Check Your Email Behaviors Keep your emails short and informal and paste your templates as an email you've written before. More tips here. Avoid overformatted emails, or messages where you're using transactional words. More info here. Make sure you have a fully completed email signature with a physical address. We give you the option to configure your emails so that they can be delivered through your own custom SMTP server. This way you can control the deliverability of the emails that you are sending. Here's how to get started with SMTP: 1. Navigate to our SMTP set up page from Settings 2. Enter the required information. Ask your company's IT administrator if you have questions about what to enter here. 3. If you’re on a Team plan and see the option to Send all Tout emails in my team through this server connection, you can decide if you’d like to roll this out for just yourself or for everyone on your team. (We do not support this feature for Office 365 SMTP Integration.) 4. Choose Authenticate and Save. ToutApp will now deliver all emails through your server. If you're running into errors setting up SMTP, try changing your port number. If that doesn't work, you can always contact us at team@toutapp.com for extra help. Note: Because every SMTP portal is different, we do not have access to these SMTP credentials. If you are unsure of what goes in each field, we recommend reaching out to your SMTP provider. Though we do support custom SMTP servers, we do not support custom SMTPs that are designed to route through integrations that ToutApp does not sync with. (Anything besides Gmail, Outlook, or OWA at this time)

Be sure to check your SPAM folder too, as this email will sometimes end up there! Please let us know if you continue to have any trouble and we can send the password reset link to you directly.

ToutApp supports SSO through the SAML 2.0 specification. However, we don't have direct integrations with any provider at this time. We will need to collect some information from your SSO provider in order to get this setup. Requirements SSO account Metadata.xml from SSO account (issue URL,the endpoint for validation, and a public key) Setup The metadata.xml from your team's SSO instance should contain the issuer URL, the endpoint for validation, and a public key. We will also need the SSO Location for your company's SSO account to be a unique domain. For example, we require a unique subdomain like ‘toutapp.pingidentity.com' or similar. Without this type of unique identifier, we will not be able to set up SAML from the dashboard. One Login and Okta do not always provide unique identifiers when assigning a URL. If you are using Okta or One Login it means we will not be able to set up one login from the dashboard button. We will still be able to set it up from the Single Sign On button on ToutApp.com. Once we have that information, we will work with our engineering team to set this up for your subscription.

Yes. Just CC and BCC individuals like you normally would on your emails. When it comes to tracking, though, our service will be unable to differentiate between who opened your email… whether it was the person in the "To" field or the "CC" field. You can occasionally guess this based on the user’s location and browser, but it’s not an exact science.

We are excited to announce that Marketo ToutApp has a new look! Beginning March 15, 2018 you’ll notice a sleek new color palette and updated terminology across the ToutApp application.  While the look has changed, all of your existing ToutApp features and functionality will remain the same. Why am I seeing the Marketo logo in the application and not ToutApp? Marketo acquired ToutApp in 2017, and since then, it’s been brought into the Marketo product portfolio. Is anything changing in my ToutApp subscription or plan? This update only applies to the Marketo ToutApp branding and terminology used across the application. Nothing in your current subscription plan will change. Why change the ToutApp color palette? We’ve updated the color palette for a more visually engaging experience and to better reflect the Marketo brand. You’ll now notice a Marketo purple palette rather than the previous ToutApp blue throughout the product. What other field names have changed? Throughout the Marketo ToutApp application, we’ve made changes to the terminology. You’ll find that we’ve replaced the words Tout/ToutApp with either Sales or Marketo. To get your contacts into the Relationships page on toutapp.com, you can upload a CSV file and have these contacts synced to the Relationships page in one easy upload. Having these contacts in the Relationships page is important because this is what we pull from to auto-fill this personalized information into the dynamic fields​ in your templates. Important: Be sure to make sure you are always importing a name and an email address, the CSV will not import without email address. Also Important: CSV uploads are limited based on the size of the groups allowed in your subscription plan. Campaigns is a series of multi-channel steps including emails, phone calls, InMail and custom tasks that allows you to streamline your communications with your potential customers and existing customers. Three things are accomplished with Campaigns: Organize: Streamline all your outreach activities in one place for efficient execution Scale: Schedule all your outreach efforts so that you can scale your efforts, minimize manual work and personalize as much as you need Measure: Track the success of all your emails and tasks in one place while automatically logging them into Salesforce. By knowing what is resonating and leading to results, you can consistently test and improve your results How do you set up a Campaign? On the Conversations page, head over to the Campaigns Tab: Then, create a category by clicking on the plus sign next to "Categories" and create a new Campaign by clicking on the 'Create a Campaign" button: Add a campaign name, and then click out of the text field to save. Now, you can add a step to Day One by clicking the "Add a Step" button and choose any of the following step-types: Email, Call, Inmail, or you can create your own Custom Task After you create your first day and step, the "Add a Day" button will activate and you can continue to add as many days and steps as your sales process requires. PLEASE NOTE: "Days" are not the number of days between actions, but the day within the sequence. For example, if your campaign is going to last 7 days, entering '3' means the action will go out on day 3 of 7 - not 3 days later. Make sure you customize scheduling and reply options, such as skipping weekends (which is awesome!) by visiting the Settings Tab for your Campaign: Now it's time to start Adding People to your Campaign!

If you are having issues with the Outlook Add-In it may be related to having an old version of the Add-In. If you are not seeing the ToutApp Add-In tab at all it may be because it has been disabled. Click here to see how to enable it. If you are still having problems after enabling it then follow the steps below to refresh the Add-In. Check for Updates 1) Click on the ToutApp tab in Outlook 2) Click Check for Updates 3) Restart Outlook Uninstall/Install Outlook Add-In First, click ToutApp in the navigation bar and click "Log In" and make sure you are logged into ToutApp. If you are not logged in, then log in and let me know if you still have trouble, otherwise, continue with these steps. 1) Click the Start menu 2) Find ToutApp in the Programs list 3) Click it and see if it shows registered or unregistered. If it is unregistered, please register and then relaunch Outlook and try logging in again. If it is registered, please unregister and follow the rest of these steps. 4) Now navigate to the Control Panel 5) Pull up Add/Remove a Program 6) Select ToutApp from the list and choose to Remove it. 7) Head here and re-download https://toutapp.com/outlook_plugin Send Diagnostic Report If a fresh install does not resolve your issue, we will want to take a closer look at your issue. INSTALLING FOR OUTLOOK FOR MAC 1) Navigate to your application Outlook on your Mac 2) From here, click on the “Store” button in the header (far right - next to “Send and Receive”). If you do NOT have a ‘store’ button - you are not on the latest version of Outlook for Mac. Don’t fret! Follow these steps to get updated: Go to the Help button (in the very top navigation, to the right of “Outlook”) Choose “Check for Updates” in the drop-down menu Update to the latest version of Outlook and come back to these steps once you’re done 🙂 3) Then, Click on the grey text that says “Click here to add a Custom add-in” 4) Then, choose to “Add from URL” 5. Paste this URL - http://tout-apps.s3.amazonaws.com/owa/manifest.xml 6) Once you’ve followed the install steps, you’ll need to close Outlook and re-open it. 7) Then, You’ll see two new Tout buttons at the top of your Outlook client 😎 Click on the “Tout Panel” to Sign in to Tout 9) You’ll also be prompted to set up “ERT” - this will allow you to capture replies on your emails and get notified when a prospect replies via the Live Feed 10) To do this, insert your BUSINESS EMAIL and BUSINESS PASSWORD in Tout 11) Now, you’re all set! We've made updates to the "Unsubscribes" functionality in ToutApp that will provide options to append unsubscribe links to the very bottom of the email. These options exist on the template page, campaign page, and can be customized in the new "Timezone & Unsubscribes" page, under "Settings and Integrations" On this page, you'll find two boxes. One for "Unsubscribe" and the other for "Block Unsubscribe": Unsubscribe - This will remove the recipient from groups and fail any existing scheduled emails to the recipient. Block Unsubscribe - This will block the recipient from receiving emails from you and your team. In either box, you can customize the text for each unsubscribe link: To customize your unsubscribe message, simply type out your text and then highlight the portion that you want to be the link. Once highlighted, click on the chain link icon and a pop-up will appear: Don't worry about making any modifications here. Simply click "OK" Once you are happy with your customized unsubscribe message, you can head over to the Templates or Campaigns page where you'll be able to choose the Unsubscribe link(s) that you'd like to add, by checking either or both boxes, as shown below: These options have replaced the "Helpful" and "Simple" unsubscribe buttons. HANDLING DUPLICATE CONTACTS: As of 5/1/2017 ToutApp will look for duplicate contacts when a contact is unsubscribed. All duplicate contacts are now unsubscribed if: A person clicks on an unsubscribe link in a Touted email A Tout customer unsubscribes a contact in the Person Details view in Tout When a block unsubscribe is applied to a contact that has duplicates HANDLING BCC AND CC FIELDS: If a contact in the CC or BCC field of an email has previously unsubscribed from a Touted email, they will not receive the email they are cc/bcc’d on - however the email will still go out to the main recipient (if they are not unsubscribed). You will be alerted to this in the Alerts bell in the top navigation bar in ToutApp.com. Block Unsubscribing a contact will remove them from any Campaign they are on, it will prevent them from ever being emailed again, remove them from the Group/s they are in, and if you have the Email Opt Out sync to Salesforce turned on, it will mark them Email Opt Out in Salesforce. Unsubscribing will remove the recipient from groups and fail any existing scheduled emails to the recipient. However, it will not prevent you from emailing them ever again and will not sync to Salesforce.

ToutApp offers tracking on your attachments (.doc, .ppt and .pdf) so you can see when they've been opened, downloaded, and see what pages your recipient is looking through. We'll allow you to use our trackable attachments feature from both toutapp.com and Gmail or Google Apps. How to send your first trackable attachment: (1) Go to compose an email or edit a template, and click the "Content" button.        (2) Upload your attachment and send it out. We support PDF, Word docs, and Powerpoint presentations. (3) Select "Add to Email" (4) Hit "Send" and fire up your Live Feed. You'll see your recipients as they open and page through your attachments. *If you would not like to track an attachment, simply hit "Attach Files" and this attachment will not be tracked! NOTE: Attachment tracking is only available for our team plans (starting with our g3startup plan)

Tout now supports integration with Highspot, a content management system. Tout customers who are also Highspot customers can now access their Highspot content right from within the Tout interface. Requirements You’ll need the following in order to use the Tout integration with Highspot: Browser - Latest versions of Chrome and Safari, Edge, IE, and Firefox In addition to working in ToutApp in a browser, the Highspot integration is available in our Outlook .Net email client. The requirements are as follows: Outlook .Net & Exchange - Tout supported version of Outlook .Net, Exchange Online, Exchange 2016 NOTE: Tout’s Gmail extension currently does not support Highspot integration Enabling the ToutApp and Highspot Integration How to Use the Integration Once enabled, here's how to access your Highspot content in Tout. 1. When composing an email in ToutApp or Outlook, choose 'Add Content' 2. After choosing to 'Add Content' select the 'Highspot' option 3. Now, enter in your Highspot account email 4. Enter your Highspot account password 5. Select the content from Highspot you would like to insert into the email or template 6. Once you select your content and click on ‘Add Content’, the content is inserted into the email or template.
