Tout Phone gives you the ability to record and save your call recordings. If you would like to share a call recording with another member of your team there are two places you can copy the link from. Copy Recording Link from the Person Details in ToutApp.com 1) Navigate to ToutApp.com 2) Open up the person details 3) Find the Call Activity under the activity list 4) Right click on the call recording and copy the link URL Copy Recording Link from the Salesforce Task You will need to have your calls logging to Salesforce in order to get this link 1) Navigate to the task created in Salesforce for the call. 2) Copy the link listed in the Tout Call Recording field. NOTE: Do not copy the URL from the call recording. This recording link has an expiration date and will lead to an error page after about 10 minutes.

Yes we do!  When you want to look like you are calling from someone's same area code, simply check the box for Local Presence before making the call: Common Questions About Local Presence Can my contact call me back at this new number? ToutApp gives you the ability to integrate with Marketo so that information about your sent emails are pushed into the Activity Log of a lead. It is important to note a couple things before you start going hog-wild with logging information to Marketo. Requirements Your Marketo Admin Munchkin Account ID Marketo Munckin API Private Key Note: If you would like to get this integration setup for your whole team, let us know and we can put that in place once you have set it up for one user. Provide us with the email address of the user who has it in place and we can begin the process for setting it up for your entire team. Setup 1) Sign into Marketo.com and click on Admin 2) Click on Munchkin 3) Copy the Munchkin ID. This is your Marketo Account ID. You will need this for step 8. 4) Click Edit under API configuration 5) Click the checkbox next to Enable Munchkin API 6) Copy the API Private Key this is your Marketo Secret Key ID. You will need this for step 9. 7) Click Save 😎 Head to the Marketo set up page on ToutApp.com: https://toutapp.com/next#settings/crm 9) Paste Marketo Account ID 10) Paste API Private Key 11) Click Save Changes. You will see that the settings are saved successfully and you are ready to log your Tout activity to Marketo!

If you are receiving the error message below when trying to connect ToutApp to Salesforce, then there might be a restriction on your access to Salesforce's API. You will want to work with your Salesforce Admin to make sure the following things are in place. Enable API in User Permissions 1. Have a Salesforce Admin log into SFDC 2. Select Setup 3. Select Manage Users 4. Select Profiles 5. Find the Profile that the ToutApp users are under and click Edit. 6. Scroll down to Administrative Permissions and make sure API Enabled is checked. . Check if Salesforce is Blocking ToutApp from Connecting 1. Have a Salesforce Admin log into SFDC 2. Select Setup 3. Select Manage Apps 4. Select Connected Apps OAuth Usage 5. Make sure that ToutApp shows "Block" next to it. If you see "Unblock", then click the button to Unblock Toutapp's access to Salesforce.

You will always want to make sure that each of your email addresses that you use are listed under “Acceptable Email Addresses” in your Salesforce Settings. This makes sure that all emails you are using are authorized within salesforce as a sender. The image below will show you where to check on this within Salesforce: So, if you are seeing error messages pop up in your inbox saying “you are not authorized as a sender”, you will need to check this Salesforce setting!

If you do not see your My Email to Salesforce under your Settings, it is most likely because your admin has not enabled it. This can happen if your team is new to Salesforce or your team has never used the BCC address that Salesforce provides you with. Open & Click Reports Step 1: Select the Tasks and Events record type. Step 2: Define the report parameters based on your desired time frame and hierarchy structure. Step 3: Add a filter to remove internal emails logged to Salesforce. (e.g. Company/Account not equal to ToutApp Inc.) Step 4: Select the Summary report format. Step 5: Add the Subject, Assigned, and Tout Clicked/Tout Viewed fields to the report. Step 6: Double-click on Add Formula within the Fields pane. Step 7: Add a name to the formula, select Percent in the format, and select Grouping 1. Step 8: Select Tout Clicked/Tout Viewed >Sum in the Summary Fields. Step 9: Add a divide sign to the formula, and then select Record Count in the Summary fields – Save As.

If you are not seeing email activity log to salesforce it might be due to restrictions on your teams Field Accessibility. Salesforce's Field Level security gives salesforce admins the ability to put restrictions around what information is viewable and editable by users. When setting field level security you will want to ensure that it is not interfering with the ability for users to see Tout fields. Work with your Salesforce Admin to ensure that these security settings are not interfering with ToutApp. If you are a Salesforce admin, you can see your Field Accessibility under the Security Controls tab. The main fields that ToutApp will interact with are: Account, Contacts, Opportunity, Lead, and Task

Learn how to create a Salesforce report/call list using ToutApp email engagement data to focus your time on the people or opportunities with momentum. STEP 1: Go to SFDC Report Tab STEP 2: Create a Report with ‘Tasks and Events’ STEP 3: Set your filters and choose a date range STEP 4: Drag ToutApp data into your columns by typing Tout into the field search. Once you add Tout data add a Column for Phone number so you can take action on this report and use it as a call list. STEP 5: Run the report and sort by Tout Events Tracked. This will bubble up the people with the most activity on your emails. Make sure you either have a next steps planned with these top people or make them a priority that day. There is likely momentum with a high number.

Once you have installed the Enterprise package into Salesforce you can install Tout event fields into your activity history section. Tout event fields include information such as  Views, clicks, and campaigns. This allows you to have information about your emails directly imported into Salesforce. Make sure you team up with your Salesforce Admin when performing these steps. In this example we will install these fields onto the Leads Page Layout. You can also install these fields onto the Contact, Account, and Opportunity Page Layouts. Remember, when logging emails to Accounts and Opportunities you will need the contact you are emailing associated as a contact role. 1. Click Setup 2. Click Customize 3. Click Leads 4. Click Page Layouts 5. Click Edit next to the page layout you would like to change. ToutApp will install some page layouts for you, but if you already have a default one your team is using you will want to install it there. You can delete the Tout page layouts if you do not want to use them. 6. Scroll Down to the Activity History section 7. Click on the wrench to pull up the edit 8. Select the Tout fields that you want to include on the Activity History section. If you are not seeing Tout fields here then you may have installed the wrong Salesforce package. 9. Click Add to move the fields over 10. Once done Click OK 11. Click Save Your users can now see valuable information and updates about their emails in Salesforce!

For some cases (if you do not have antivirus software installed) Outlook will display a pop-up window to notify you that Tout is trying to access your calendar: Here's how to resolve that pop-up: (1) Open Outlook 2010, go to "File/Options/Trust Center" menu item, and then click on the "Trust Center Settings" button at the right side of the dialog box. (2) From there, select the "Programmatic Access" menu item. At the bottom of this dialog, note what your "Antivirus status" is. If it is "Invalid" then close Outlook, navigate to where its "OUTLOOK" program icon is on your disk (typically it sits in the "Program Files (x86)/Microsoft Office" folder), and then right-click this icon and select "Run as administrator" from the pop-up-menu. If you get a warning, then select "allow" or "yes" to continue. (3) Then in Outlook, go back to "Programmatic Access" as described above, and you should see your antivirus status updated to "Valid" (assuming you have an up-to-date antivirus program on your computer). (4) Exit Outlook. Then open it the way you usually do. The warnings should now be gone.
