ToutApp Enterprise subscribers have access to some great dashboards. Once you have installed the ToutApp package for Salesforce, from the AppExchange you will see these dashboards appear. If you are not seeing the correct information populate on the dashboard you will want to make sure that you are logging information to the Tout custom fields. The fields can be installed in the Activity History section and on the Task object in Salesforce. The fields include things such as Tout_Viewed, Tout_Clicked, Tout_Replied, Tout_Templates, etc...

To add this to your Lists, go to Setup > Customize and under Contacts/Leads/Accounts open up Search Layouts. From here, Edit Leads List View and drag Push to Tout into the Selected Buttons.

If you would like to install the ToutApp Package into their Salesforce Sandbox package you can follow the instructions below.  1) Click here to navigate to the AppExchange 2)  Click on "Get It Now". 3) Click "Login to the Appexchange". If you get navigated directly to installing the package then you will want to sign out of Salesforce and try again. You should be taken to the login screen 4) Go to the URL in the address bar and delete "login". In it's place enter "test". Click enter. 5) The address should now show "test.salesforce..." 6) Now Sign in. Make sure you are using your Sandbox credentials as they are usually different than your regular Salesforce credentials. 7) From here you can use our regular Admin Guide to get everything set up. Select what users you want to install the package for and then start from step 2 in the guide. NOTE: These steps for installing from the Appexchange into the Sandbox environment have been provided to us by Salesforce help center. You can see the instructions if you look at the "Note" at the top of Salesforces's Install A Package article.

Our Push to Tout button will take a list of your Leads/Contacts in Salesforce and push these contacts into a group in ToutApp. From here, you can quickly send off a customizable group email with Tout tracking attached. You can Push to Tout from list views of Leads/Contacts Requirements ToutApp Salesforce package installed by Salesforce Admin Push to Tout button installed to list view by Salesforce Admin Salesforce Connection made with ToutApp for user making the Push How To 1) Click on the Lead/Contact tab in Salesforce 2)Toggle to the List View you would like to Push to Tout next to the Go button 3) Click Go 4) Select all the leads/contacts you want to be pushed to tout 5) Select Push to Tout 6) A new window will appear verifying the number of Leads/Contacts you would like to push over. Select 'Proceed to Group'. Toutapp will not push over any contacts marked as Email Opt Out in Salesforce or Unsubscribed in ToutApp. ToutApp will add this group titled "SFDC-......" to the Relationships page on toutapp.com. From here just select "Email Entire Group" to send out this group email! It's as simple as that!

With the help of ToutApp you can have your emails and calls logged as an activity into Salesforce, so that you can worry about writing awesome emails and we can worry about getting all that great data into Salesforce. A key part to having valuable data in Salesforce is having the Type field populate the correct value Note: Logging emails via BCC will not look to the Task Type picklist and will instead automatically populate the type field as email, because they are being delivered to salesforce through your BCC address. Requirements Connection with Salesforce No Default Type value selected on Task Type picklist Call, Reply, and Email must all exist under the Task Type picklist (capitalization matters) No Workflows or Triggers taking action on the value of the Type field Setup First, we will want to check that we have the correct picklist values in place. You will need the help of your Salesforce Admin to make any changes to your picklist. 1) Navigate to Salesforce.com and click on Setup in the top right corner. 2) Click Customize 3) Click Activities 4) Click Task Fields 5) Click Type 6) You are now at the Task Type Picklist! Check to make sure that there is not a 'Default' selected. 7. Check to make sure that there is a Type value listed for Email, Call, and Reply. Now that this is in place you will begin to see the Type field populate the corresponding value for logged Emails, Calls, and Replies. These values will NOT be populated on Tout reminder tasks. Note: If you do not see 'Reply' as a value you will want to add it by clicking New. 'Reply'is not a standard value in Salesforce.

Once the package installs, choose Next, you’ll need to review our package installation details and then click the configure link, under “Actions.” Now, you’ll need to grant access to ToutApp. Click Allow when the permission request appears. If you already have a ToutApp account: Now we’ll take you to ToutApp to confirm that your account has been connected. If you are a new ToutApp user, you’ll see a screen that will walk you through the process of setting up a new account. Now that the package is installed you will want to set up your new Tout features in Salesforce. This includes Push to Tout, Email with Tout, Call with Tout, and Add to Campaign​. ToutApp uses the Contact or Lead ID (also known as Salesforce ID), to help log information properly to Salesforce. There are a few ways that you can attach your Salesforce ID to your contacts in ToutApp. 1) Push to Tout: Using Push to Tout will create a contact in ToutApp with all the key contact information including the lead/contact's Salesforce ID. 2) Email with Tout, Add to Campaign, and Click to Call Buttons in SFDC: When you use any of these three buttons in Salesforce ToutApp will push the contact to ToutApp with the Salesforce ID. 3) Import CSV: If you export a list of leads/contacts from Salesforce and you include a column with the Salesforce ID then you can map the field to ToutApp on import.

Open & Click Reports Step 1: Select the Tasks and Events record type. Step 2: Define the report parameters based on your desired time frame and hierarchy structure. Step 3: Add a filter to remove internal emails logged to Salesforce. (e.g. Company/Account not equal to ToutApp Inc.) Step 4: Select the Summary report format. Step 5: Add the Subject, Assigned, and Tout Clicked/Tout Viewed fields to the report. Step 6: Double-click on Add Formula within the Fields pane. Step 7: Add a name to the formula, select Percent in the format, and select Grouping 1. Step 8: Select Tout Clicked/Tout Viewed >Sum in the Summary Fields. Step 9: Add a divide sign to the formula, and then select Record Count in the Summary fields – Save As.

If you are not seeing email activity log to salesforce it might be due to restrictions on your teams Field Accessibility. Salesforce's Field Level security gives salesforce admins the ability to put restrictions around what information is viewable and editable by users. When setting field level security you will want to ensure that it is not interfering with the ability for users to see Tout fields. Work with your Salesforce Admin to ensure that these security settings are not interfering with ToutApp. If you are a Salesforce admin, you can see your Field Accessibility under the Security Controls tab. The main fields that ToutApp will interact with are: Account, Contacts, Opportunity, Lead, and Task

Learn how to create a Salesforce report/call list using ToutApp email engagement data to focus your time on the people or opportunities with momentum. STEP 1: Go to SFDC Report Tab STEP 2: Create a Report with ‘Tasks and Events’ STEP 3: Set your filters and choose a date range STEP 4: Drag ToutApp data into your columns by typing Tout into the field search. Once you add Tout data add a Column for Phone number so you can take action on this report and use it as a call list. STEP 5: Run the report and sort by Tout Events Tracked. This will bubble up the people with the most activity on your emails. Make sure you either have a next steps planned with these top people or make them a priority that day. There is likely momentum with a high number.

Once you have installed the Enterprise package into Salesforce you can install Tout event fields into your activity history section. Tout event fields include information such as  Views, clicks, and campaigns. This allows you to have information about your emails directly imported into Salesforce. Make sure you team up with your Salesforce Admin when performing these steps. In this example we will install these fields onto the Leads Page Layout. You can also install these fields onto the Contact, Account, and Opportunity Page Layouts. Remember, when logging emails to Accounts and Opportunities you will need the contact you are emailing associated as a contact role. 1. Click Setup 2. Click Customize 3. Click Leads 4. Click Page Layouts 5. Click Edit next to the page layout you would like to change. ToutApp will install some page layouts for you, but if you already have a default one your team is using you will want to install it there. You can delete the Tout page layouts if you do not want to use them. 6. Scroll Down to the Activity History section 7. Click on the wrench to pull up the edit 8. Select the Tout fields that you want to include on the Activity History section. If you are not seeing Tout fields here then you may have installed the wrong Salesforce package. 9. Click Add to move the fields over 10. Once done Click OK 11. Click Save Your users can now see valuable information and updates about their emails in Salesforce!
