ToutApp offers tracking on your attachments (.doc, .ppt and .pdf) so you can see when they've been opened, downloaded, and see what pages your recipient is looking through. We'll allow you to use our trackable attachments feature from both toutapp.com and Gmail or Google Apps. How to send your first trackable attachment: (1) Go to compose an email or edit a template, and click the "Content" button.        (2) Upload your attachment and send it out. We support PDF, Word docs, and Powerpoint presentations. (3) Select "Add to Email" (4) Hit "Send" and fire up your Live Feed. You'll see your recipients as they open and page through your attachments. *If you would not like to track an attachment, simply hit "Attach Files" and this attachment will not be tracked! NOTE: Attachment tracking is only available for our team plans (starting with our g3startup plan)

Different mail clients measure views differently, but you should take this as a good sign! Oftentimes if someone is scrolling up and down the content of your email, if they open and reopen it, or if they forward it on to someone else, we'll say that your message was viewed multiple times.

Even if you sent your message to another email address, we won't log you viewing any emails you’ve sent to yourself in the Live Feed. Our tracking is device-based; as long as you're using a computer you've logged into Tout with, we'll filter out that activity. The reason? Tout is smart, and our active users would never forgive us if their own info popped up in the Live Feed Activity every time they looked at an email they sent. If you're doubting this (you wouldn't be the first to do so!), here's a quick overview of how to get to the only place we'll show self-tracking: 1) Go to the Conversations page of toutapp.com 2) Find the email you sent yourself in the Sent folder. Click it. 3) Click the Details button as shown in the screenshot below. You should see your own views showing up there.

We give you the option to Custom Domain Track your links so that when you hover over a link, it will read “go.yourcompany.com” instead of “go.toutapp.com”. To set this up, you will need your IT administrator to follow the steps listed in the ToutApp Settings page: https://toutapp.com/custom_tracking_domain One thing to make sure of in step #2 is to ensure that this link takes you to toutapp.com and not Google. Once you have this set up, any link you have in your email, we will white label this link to appear as “go.yourcompany.com”. To check it is working properly, you can go to MXToolbox to verify the CNAME is pointing to the right url. You can enter your custom domain and click CNAME Lookup.  If it is setup correctly, it will show that the Canonical Name is go.toutapp.com If it's not, it will show an error that No Records Exist, and you will need to go back to your IT team and run through those steps again.

You can email multiple recipients using Group Emails, and we'll let you send them from only from toutapp.com.  The emails will be sent separately to each individual and you will receive tracking on each email.  If you add multiple recipients to a single email, all the tracking will be associated to the primary person on the email regardless of who opens it. We generally report your own email views in toutapp.com when you click on an email and then click on "Details". Any email that you've viewed will say [You] viewed/clicked/etc. under the details log. This is so that users can send test emails to themselves and get accurate statistics. What you should not be seeing in our app is your own views showing up in our Live Feed or in your template statistics. If this is happening: (1) Ensure that you have cookies enabled on your computer. (2) If you're using a new computer or mobile device, make sure you've logged into toutapp.com. This will allow us to recognize your computer from now on. (3) Check to see if you have SMTP set up or are BCC-ing your emails to Mac Mail. Because of the way Mac Mail is set up, viewing your sent items in Mail will cause your own views to get logged as the recipients'.

Reply Tracking is done by looking at a message ID that is in every email you Tout. Every email will have a unique message Id in it which allows us to have some of the best reply tracking around. If ToutApp cannot track your prospect's reply to your Touted email, it will not be able to stop a campaign based on reply detection or log that reply to Salesforce. You will want to make sure that your emails meet the following requirement so that your prospect's replies are tracked. Requirement Connection with your email server Connection with Email Server: ToutApp must be connected with your inbox so that we know when a new reply has arrived. You will need to have your ToutApp account connected to Gmail​. If you are using Outlook we will need to integrate with your exchange server. What do we mean any email address can reply? This means that if you email JonSnow@HouseStark.com and he responds with JonSnow@TheNightsWatch.com, we will be able track the reply.  Additionally if you email JonSnow@HouseStark.com and copy Jon.Arryn@LordoftheVale.com, and Jon Arryn writes you back, it will also detect the reply and end the campaign. Our view tracking is done by placing an invisible image inside the body of the email so that when the email is opened and the image is opened, the view is triggered. What this means is that if the person you are contacting doesn't have images enabled on their email account they might not trigger a view. We suggest adding images to your templates or a logo to your signature to prompt contacts to enable images in case they have it set by default to be off.

If someone responded to your email but ToutApp is not saying it was viewed, then they have not enabled images within their email client. Some tips for getting better tracking stats on your emails: 1. Include an image in your emails, like a logo, so that your recipient is encouraged to enable images to see your message. 2. Include a link as a call to action in your message.

Make sure you have not copy and pasted any information from a Touted email into a new email, a template, or your signature. If you do this, it's going to carry the tracking pixel from the originally sent email into your new email. What does this mean? This means that if someone opened the other email, it would show that it also opened the one you just sent. Alternatively, it's possible your recipient loved your email and forwarded it to everyone in their company and all of those forwarded emails will also trigger a view on this originally sent email.

You may have noticed that your links are getting changed to go.toutapp.com. This is Tout rerouting your links so that clicks can be tracked. If you would like to personalize what shows up when Tout reroutes your link you can set up custom domain link tracking.

I click on my link and it says, "Where am I? You ended up here because you probably clicked on a link in an email. Unfortunately, ToutApp, the analytics service used for emails wasn't able to figure out where to direct you". There may be something wrong with how your link was formatted. If your link is embedded in text, make sure that you have included the full URL. If you are still having problems after checking the formatting of your link, reach out to our support team for more help. In your ticket submission, include; the link that you wanted the recipient to be directed to along with the tracking URL. The tracking URL will be the address you are directed to when clicking on the link.
