Tokens for Webinars

Hi! 
I am in search of some best practices regarding token use for webinars. We are just implementing and our Webinar folder structure is as follows:
Marketing 2015

Webinars 2015

Ongoing Q1

Specific Webinar Event

We do two webinars per week and using tokens to update dates, names, etc. would save me so much time for invites and reminders! Would it be better to store all the tokens in the Webinar 2015 folder or the Ongoind Q1 folder? Or neither of those options? I am unsure of the best way to do this since we have multiple webinar invites and reminders being sent out...invite goes out 1 week before and reminder goes out 1 day before.

Any help you can provide is greatly appreciated!

Hi Amanda, I would recommend making each one its own event -- especially if you plan on doing any sync with GTW or similar provider where there is a connection to Marketo, this will be necessary. When you clone the program, everything that you've created before will come over and all you'll need to do is update the tokens to have the new values. This is the easiest way to do it, in my opinion.

We house all of our tokens in the program level. Like you we have specific folders for webcasts and host 3-4 webbies a week. When we clone the program it carries over the tokens we like to use for webcasts. This is easiest for us and it is so fast. Clone...change tokens...BAM! You are good to go. I hope this helps.

Hi Amanda, for something that's going to change for each webinar, I'd advise keeping the tokens at the specific webinar event level. If there's a global detail that won't change for each webinar, then I'd put that in one of the higher level folders. Something like date would need to be local to the specific webinar event, but if time is consistent, then that could be in a higher level (or in the specific event so that it's consistent.. whichever you prefer).

Dory and Nicole,
Would you recommend making each invidual webinar an event or a program then? If it is an event, then I can create a program for the emails within each event and then copy that email program, correct?
