Managing Salesforce templates from MSI "Was Sent Sales Email"

We log an activity in Salesforce whenever an email is sent via MSI and opened/clicked via MSI.  We don't do this for Marketing email. I opened a ticket with tech support because everytime an email is sent via MSI, and an activity is logged, an email template is created in Salesforce. So now we have thousands of email templates. (We have at least 10 reps using MSI, if they sent 200 emails at a time, and then an email template is created for each email, we now have 2000 email templates). Tech Support has told me this is the correct behavior, and the only way to stop it is to diasble the sync activity into Salesforce. We like to log an activity for rep activity reports & dashboards.

Do others have this issue? if so, how are you managing it?

At some point, we'll start getting near our storage limit in SF, and my SF Administrator is experiencing issues due to the excess of templates.

The only thing I can think of is to disable the sync, and do a smart campaign that uses a trigger to log a closed task when a MSI sales email is sent. That way an email template isn't created, and you'd have to use the MSI console on the object to view the email in Marketo.

This is a known, if not undesirable, behavior for which I started a discussion in the Community about a year ago (http://community.marketo.com/MarketoDiscussionDetail?id=90650000000PRtcAAG) and the response from Marketo tech support was exactly the same as you received.  I think that Marketo creates these "templates", so that the email can be viewed by clicking the email's link in Sales Insight.

There is an Idea Don't create SFDC templates for every email sent via Outlook plugin that you may want to vote for.

YES. I submitted a ticket before I submitted that idea that Elliott mentioned, and the final response from Marketo was that this is standard behavior which can't be changed. I can't, for the life of me, imagine why anyone would need templates created for every single email that a sales rep sends.

In response to your question, Diane, I guess I'd have to say we're not doing anything to manage the issue. We're not yet approaching our storage limit, so it's not as urgent a problem for us. I don't see why the content of each email couldn't just get loaded into the comments field as it does with the Salesforce for Outlook plugin.

Thanks guys. I voted for the idea! I agree though, it seems like a design flaw.
