Seeing only "true" members

Hi everyone -

We have a previously set up program in our instance. In the set up, it has the SFDC campaign type.

I uploaded a list that we will be emailing this week. The problem is is that now all those people are "members" of the program and they also all became members of the SFDC campaign which is not what I wanted. I only want to see in both instances those who did certain actions. Is this because of the sync in the program? How do I prevent this happening into the future?

Hi Jennifer,

You cannot prevent this from happening in the future. As soon as the leads are added to the program, they will also appear as members of the SFDC campaign if the program is sync'ed with a campaign.

2 importants things here:

  • The program has a channel and the channel has member statuses. These statuses should be used to manage the program process, such as separating people who are targeted from the ones who have been invited and the ones that are already registered. So you should import your leads in a status that is specific to them so that you can differentiate them from the other members.
  • The experience you had is one reason why I recommend not to import leads in a program, but to import them in a static list that sits inside the program and add them to the program when they are imported. If necessary, you may have multiple lists, or remove them from the import list once they have been sent the email. The interest of this method is that the static list will always be there if you need to refer to the list that have been imported.

Very helpful information - thank you.

I just thought of something: if I do not sync a SFDC campaign inside the Marketo setup. However, if a prospect/customer does a desired trigger, would then adding in the flow steps a SFDC campaign bypass the issue of syncing over all the unwanted information?

Hi Jennifer,

Yes, that will work, as long as the program does not sync with the SFDC campaign. But then you will loose the advantages of the sync, which is to make sure that both systems report campaign membership and success alike.

You might want to have a scoring criteria be what determines if a lead goes to SFDC.  For example, we rate behavioral and demographic information and assign points. If a lead hits 100 points they go to SFDC.

Hi Robb,

As long as the program and the smart campaign are sync'ed, a lead is sync'ed to SFDC as soon as it is added to the program and this cannot be stopped.

Hi Robb -

We have rules already set in place for anything 60+ to go into our SFDC instance.

Unfortunately, Marketo and SFDC are considering all leads uploaded as a member which is not optimal for our reporting
