SFDC pushed duplicates, now what?

So we switched CRM systems (great!) and now Salesforce has pushed about 1,000 duplicates into Marketo. I'm aware now that Marketo allows SFDC to do this because of some priority it gives that side of the sync. Anyways, beyond using the POTENTIAL DUPLICATES smartlist and going one-by-one, is there any alternative to reconciling these duplicates? I can't even use a salesforce tool because they're not duplicates in SFDC, just Marketo.

Hi Naor,

We are currently dealing with a similar issue.  Marketo offers a one time "dedupe" that you have to pay extra for.  Our dedupe is currently running and while we have had some hiccups it will in the long run solve this problem for us.  Once the dedupe is complete we are setting up some sync user rules in Salesforce to keep these leads from being sent back to Marketo.

I'd contact your rep and ask for pricing.

Naor,

We are currently dealing with way too many leads (and almost as many duplicates) after we recently added Salesforce to our well established Marketo instance so this might be extreme for you given your database size. We are restricting the sync for the below:

  • lack of sales activity over a certain period of time/ no proposal status/not a client
  • do not solicit/email opt out selected
  • no longer with company
  • contact status is set to disqualified, left, not interested, etc.,
  • email address is blank
  • job title is set to something we are not interested in

Basically you can make this list as comprehensive or minimal as you need.

Hi Naor,

I ran into this issue when we changed CRMs, too. We had a lot more duplicates so we hired Marketo to run an EZMerge on our duplicates. The EZMerge mass merges duplicates in both systems.

If you don't want to pay them, you can manually merge the records but that will take a long time!

Do you know which Contacts/Leads are the duplicates inside of SFDC?

If you did I'm thinking you could add them into a Campaign.  Export the Campaign members to get a list of their email addresses.

Then create a Smartlist inside of Marketo that pulls up these email addresses (I'm figuring the results will be doubled due to the duplication).

Add another criteria to the Smartlist with Member of SFDC Campaign not in ... the campaign you created from above.

You should be able to deleted out these non SFDC dupes.

Random idea but seems logical.

That could work, too, but the benefit of the merge is so that you don't lose information on the records. You'll be able to merge all activity history, email history, sales docs, etc. You'll have to create rules when there is information that conflicts. For example, if John Smith is a duplicate and he has a different job title on each record, you have to determine which one wins. Most fields will win based on the record that has been updated most recently.

Hey Josh, that's actually not a bad idea. The 1,000 contacts from SFDC are actually the ONLY contacts we are starting our SFDC instance with - and there isn't any pertinent data in SFDC that would make a difference at this point. I wonder though, once deleted will future activity at the marketo level sync into the correct SFDC contact/lead though?

I believe you should be set.  When I spoke with Marketo around removing SFDC is Deleted (T) Leads from the system I was told that the activity gets linked up with the Lead that was last modified.  So it seems it's better to act fast in case the dupes are the ones with the last modified.  Depending on how much activity you have with these leads Jamie is correct in that merging would be the better option.  But if the data is fresh and you don't lose much, the delete will be quicker and at no charge.

For duplication, I think you can try TIBCO Clarity. It has a really powerful and robust de-duplication function.

You can customize your match strategies by columns or by swappable columns or by columns against to a thesaurus table, and then use them to discover duplicate records from any incomplete or partially similar records, even from records in different languages.

In addition, It has deep integration with both Salesforce and Marketo. It can help you directly update and remove duplication data in your salesforce and Marketo account. Also, once you build your own receipt, you can alway reuse it to handle your new coming data. It is really simple and easy.
